Version 2026-10. These terms are accepted when a provider account is created, together with the Business Associate Agreement. Patients are not party to these terms; the Terms of Use cover the public directory and catalog.
Vantage Health provides a public directory listing and practice tools (scheduling, documentation, forms, billing, a patient portal and related features) to licensed mental health professionals and the practices they work in. By creating a provider account you confirm that you hold a current license or registration to practise in your jurisdiction, that the credentials you submit are accurate, and that you are authorised to agree to these terms on behalf of your practice.
You are responsible for keeping your sign in details private and for everything done under your account, including by staff accounts you create. Staff accounts act on your behalf and are covered by your acceptance of these terms. Tell us promptly if you believe an account has been used without permission.
The listing is free and stays free with or without a paid plan. You write your own profile and are responsible for its accuracy. A "Registration verified" badge means we checked the credentials you submitted against the issuing body on the date shown; it is not an endorsement and does not replace a patient's own checks. We may remove or suspend a listing that is inaccurate, misleading or no longer backed by a current license.
Practice tools are billed per provider at the price shown on your Billing page, in advance, each month. A free trial runs for 14 days from the day you start it; a card is required to start the trial and is charged on day 15 unless you cancel first. AI transcription is metered by the minute at the rates shown for your plan. You can change or cancel your plan at any time from the Billing page; changes take effect on the next invoice and are prorated. Fees are not refunded for partial months except where the law requires it.
Payments from patients and sales of courses and activities are processed by Stripe into your own Stripe account under Stripe's terms. Vantage Health does not hold your money. Catalog sales carry a platform fee of 3% of the sale price, deducted at settlement. You are responsible for the content and pricing of anything you sell, for any tax due on it, and for refunds to buyers.
Records you create in Vantage Health belong to you and your practice. We store and process them only to provide the service, under the Business Associate Agreement. You can export a patient's folder at any time. If you close your account we keep your records for 30 days so you can export them, then delete them, except where the law requires longer retention. You remain responsible for meeting your own professional and legal record keeping duties.
Transcription, drafted notes, summaries, intake drafts and generated images are produced by automated systems and can be wrong. Nothing drafted by these features becomes part of a record until you review and sign it. You decide whether to record a session and are responsible for obtaining the patient's consent to do so. Audio is deleted on the schedule you set.
You agree not to use the service to store or send content you have no right to, to harass anyone, to interfere with the service or other users, or to break any law or professional rule that applies to you. Courses and activities you publish must be your own work or material you are licensed to distribute, and must not be presented as a substitute for treatment.
We aim to keep the service available at all times but cannot promise it. We may change features, and will give notice before removing one you rely on. We may update these terms; when we do, you will be asked to accept the new version the next time you sign in, and continued use after that is acceptance.
The service is a tool for your practice; clinical decisions and the care of your patients remain yours. To the extent the law allows, Vantage Health is not liable for indirect or consequential loss, and its total liability to you in any twelve month period is limited to the fees you paid in that period. Nothing in these terms limits liability that cannot be limited by law.
You can close your account at any time from your account settings. We may suspend or close an account that breaks these terms, with notice where practical. Sections 5, 6, 10 and 12 continue after the agreement ends.
These terms, the Business Associate Agreement and the Privacy statement are the whole agreement between you and Vantage Health about the service. If part of them cannot be enforced, the rest still applies. Questions about these terms can be sent through the support link in the provider portal.
This is the first published version of these terms and is under legal review. Material changes will be issued as a new version and presented for acceptance.
